I run a Clothing business and we use the product code for all sizes of
the same line, I can't find anywhere I can enter the sizes bought by
clients and also the sizes kept in the inventory. Any help would be

I got it to download & open. I found the upgrade in import/export, but
when I tried it wouldn't import any info. It just told me that each
file could not be imported. Then it said 13 of 12 files were not
impoted. Can you tell me what I am doing wrong. I'm afraid to
experiment with it too much b/c I don't want to lose the info I do have
in my old one. Thanks for any help!

As many of you know, my download is not working. I receive
a "Database format is not recognized" when I try to download the
file. I'm sorry for not listening to your complaints sooner. I've
been very busy with my new baby.
I will reload the file tonight, Thursday October 12th by approximately
11pm est (my bedtime). PLease be patient. It does work and works
well.

The download error is likely caused by your settings on your PC
system. Go to properties to turn off the block that is causing the
error.
Once downloaded, you must have MS Access 2003 or later OR a previous
version of Party Manager Software to use this new version.

I'm also getting an error when I try to open it. I've even clicked on
properties and clicked on an "unblock" button that gets rid of the
untrusted error but then it tells me that there is a problem with the
visual basic and it wont get past the error. At that point I have to
manually terminate the process.
No. This file is named differently so you are not in
danger of overwriting the old file.
FYI, it is always good to backup anyway.

Hi,
To help many people get around common startup issues, I am posting
instructions to help get started...
1. When loading the price list be sure you note down the EXACT path
to the file products.xls. This path is needed during the import
process.
2. Load ALL NAMES (Customers, hostesses, Aunt Linda etc.) into the
Guests & Hostesses Information table before proceeding to create
shows/parties.
3. Enter all products into your products table before entering
Orders. All products being used in your orders should be in the
products table. Even if you purchased the price list you may NOT
have ALL items in your list.
Here are some other items that may help guide you through the
initial startup...
1. Open the Setup Information form by pressing the Setup
Information button on the Control Panel. Fill in the Setup
Information as listed on the form. It is best to fill out as much
as you can. Ask your trainer, recruiter or group leader for
information that you do not already know. This information will be
used in various locations throughout the program in reports and
forms.
2. Open the defaults table for customization of Party Manager
Software to meet your needs. This file is located outside Party
Manager Software in a file named C:\Program Files\Party_Mgr_Soft_2005
\defaults.xls. In this file you will be able to change the field
names on the Guest & Hostess Information form to fit your needs
among other settings you'll be able to control.
3. Manually assemble a list of customers and hostesses along
with their addresses and phone numbers. A good start would be to
list customers you would like on your mailing list. Consolidate
their names, addresses and phone numbers and enter them into the
Guest Information table using the 1 Guest Info button on the Control
Panel.
NOTE: Be sure that the Mailing List check box is checked for those
customers you want on your mailing list. That Mailing List check
box is located on the upper right side of the Guest & Hostess
Information form.
4. Enter your Product information into the Products table from
the Products button located on the Control Panel. If you ordered a
Price List, follow the instructions within this document to acquire
your Products Price List.
5. The Mileage and Expense tables were placed in the database
to aid in tax reporting at the end of the year. Therefore, the only
data required is the data for the current tax year. Going back
further in time does not really benefit the user.
Manually assemble a list of expenses and mileage and enter that
information using the Expenses and Mileage buttons on the Control
Panel. This step can wait to be completed but should be utilized as
soon as possible to avoid extensive amounts of data entry at a later
time.
Maintenance: The Mileage and Expenses forms should be used as often
as possible to prevent extensive data entry at one time. Collect
your expense and mileage receipts in a bin then enter the data on a
weekly basis to manage the data entry time.
When these steps are complete you will be in a better position to
utilize the full functionality of the program. Remember, accuracy
of your data is the key to a productive and useful program.
6. Create a show by clicking 2 Show Info on the Control Panel.
Begin by entering a hostess's name. The names for this field come
directly from the Guest & Hostess Information table. Fill in show
information such as the date, time and location. Fill in a short
comment you would like to appear on the information label that will
be placed on the invitations. Fill in other information as needed.
Congratulations, you have created a show and it is currently ACTIVE!
7. There are two locations where the ACTIVE show can be
changed. On the Control Panel, select a new show from the drop down
menu labeled Active Show Number or from the Show Information table
select a new show from the drop down menu labeled Find a Show Here.
8. From the 2 Show Info button on the Control Panel, open the
Show Information table. Print Show Information labels for
invitations by first filling in a number in the # Guests/Orders
field equal to the number of guests for which you expect to send
invitations. Next press the (##) Info Labels button. Fill in the
number of labels already used on your label sheet. If you have a
full sheet of labels leave a "0" in the dialog box that appears
otherwise enter number of labels that are already used on your label
sheet. The Label Saver feature allows you to use every label on
your blank labels sheet.
9. If you need address labels for your Show, add guests in the
Guest List section located at the bottom of the Show Information
form. Next press the Mailing Labels button.
10. Create orders by first making a show active to which you
would like to attach orders. Use instruction #6 above for making a
show ACTIVE. With a show active, press the 3 Orders of Active Show
button on the Control Panel. Begin entering the Item Numbers and
Quantities of each item being ordered on the first order. Press the
Next Order > button to move on to the next order and enter the Item
Numbers and Quantities for that order. Finish all orders for that
show and exit the form.
11. Be sure to utilize the Business Activity Report on the
Control Panel. The Business Activity Report allows you to make
reports for any period of time you desire. This feature was created
to match the report typically used by representatives to report
their weekly sales and goals. The Business Activity Report relies
on the Show Date in the Show Information table. All Show Dates that
fall in the date range you select are collected into this report.
12. After orders have been entered, an Order Consolidation w/
Inventory Check can be completed on those orders. The Order
Consolidation w/ Inventory Check report relies on the Order date
found on the order form. The Order Consolidation feature rolls up
all items in the Orders that fall within the date range you enter in
the dialog box that appears. This feature also allows the user to
determine if inventory will cover the order or if additional
quantities of an item should be ordered to cover the order. It also
calculates the number of shipped units of a particular item for
items that are shipped in multiple quantities.
The Inventory Check feature allows the user to determine on an
individual basis which items from your inventory you will use to
fill the order and which items you will purchase from the parent
company to fill the order. This allows you the flexibility to
maintain an inventory of items that you would like to maintain to
support your business.
13. Address or Mailing Labels to be used on monthly fliers can
be printed from the Labels section of the Control Panel. Choose the
appropriate button for the desired list of labels to be printed.
The Mailing List button prints address labels for those guests that
have the Mailing List check box checked from the Guest Information
table.
14. Print an Expense or Mileage report for tax purposes. Open
the Expense or Mileage form from the Control Panel with the
corresponding button on the right side of the Control Panel. Choose
the type of printout desired, either By Month or By Category at the
top of the form. Enter a date range for which you would like the
information gathered and press OK.
15. Take an inventory of all products that you currently have on
hand.
16. Enter your inventory into the database using the Inventory
button on the Control Panel.

I am new to the group but I am very happy to see that there is a
group for this application. It is a very good product for someone
with a home party business. I am still trying to work through the
different parts of it and if I can figure it all out, it would be
great. Just a friendly suggestion to the creator, when your clients
actually purchase the software and you're sending him or her the
disk. It may be a little more helpful for the user to have a manual
with screen shots. I have tried to print out all the directions as I
need them, but there is still a lot that I'm sure that I have missed
and if you're not a very computer savvy person you may have some
problems. I do have a question; can a picture be put into the
inventory of a particular product? If so, I haven't figured it out
yet. Can you tell me how to do it? Also I notice that if you're
trying to load your products into the database, it is setup to load
each product individually or the user could send you their price list
for a fee to have you convert it. I think as a 1 time courtesy, it
would be helpful to the user for the vendor to provide that service.
It would almost serve as an update. I'd like to have the splash
screen to have my business name instead of being as plain, is this
possible? If so is there a fee associated with that and why is it
that the user can't change the splash screen themselves if they no
how? Again, I'll say that the application is great for home party
businesses. I love it and I'm currently going through the tedious
process of manually loading each client and their data. It just seems
like there should be a little more productive way to do this. I can't
wait to try the Beta 2007 version.
